The event tool is used for creating events for specific groups, people or the whole community.

Event list

In the list events of all kind of status are listed. The status are: draft, published and archived.

Create a new event

Gerenal information

At first the title of the event and the organizer have to be given.
The organizer can be a person or a group. Then a picture has to be chosen.
The event can be created for: the whole community (public), specific people (private), groups or – and this is the case for our Erasmus- Alumni clients – can be managed by a service provider.

Location

When selecting the event location, you can either revert to already used locations or add a new location. which can be online (then provide the URL) or a physical address. The address will be displayed on a Google Map.

Start and end

Let the people know, when your event starts and ends and in which time zone the event takes place.

Description

Provide a description of your event. It is also possible to provide PDFs, if you click on the chains in the RTE.

Fees

If there are any fees involved, state the purpose (e.g. „bike rent fee“), choose the curreny and the amount and provide a short description if necessary. You can add as many fees as you want.

Event type

Choose the event type. Depending on the organisation the event types variate. For example they could be „board meeting“ or „external meeting“. Events types can be added as desired.

Depending on whether you chose public, private, group or managed under the general information, the following section differs. If you chose „public“, this section won‘t appear.

Participants

If you you chose „private“ or „managed“:
First you have to set the maximum amount of people, who can attend the event. So, if the maximum is reached, no more people can join.
Choose the persons you want to attend the event.
After that, you can write an invitation.
Type in your name or the person‘s name, who will answer incoming mails regarding the event.
Type in the mail those answers should go to.
You can use the standard invitation template or create an individual text. Therefore you can use the placeholders.

If you you chose „groups“:
Choose the group(s) you want to attend the event.
After that, you can write an invitation.

Feedback Chat

If you you chose „managed“: You can exchange ideas and information regarding the event with the service provider in the feedback section.

Duplication

Your event takes place again? Just duplicate the event.
